Getting to Know the QuickSurveys Dashboard

If you want to learn the basics of navigating your account in QuickSurveys, then you’ve found the right post.

Once you’ve registered and logged into your account, you’ll find a few things.

A top navigation with:

  • (A) QuickSurveys logo: Click this anytime to get back to the main dashboard
  • (B) Create: Click here to start creating your survey. A drop-down menu will appear where you can choose which solution works best for you. Each option is explained in detail in the next section.
  • (C) Premium Subscription: Click here to upgrade your account. Becoming a premium member allows access to features including advanced reporting, operational quotas, secure video hosting, piping and masking, email invites and advanced customization.

When you click “Create”, you are presented with a few options to choose from:

  • (E) Custom Survey: Here is where you can build your survey questionnaire using QuickSurveys. First, you will need to (H) select your audience (read this post for help with that)
  • (F) Automated Survey: Otherwise known as the PowerSuite: This is a collection of fully-automated insight solutions designed to guide you from ideation to understanding in just hours. These options enable you to conduct package, concept, shelf, positioning and attitudinal studies through intuitive solutions. More information here.
  • (G) Create Community: This allows you to use QuickCommunities, a revolutionary DIY solution enabling you to create a highly-engaging, branded, an online community in minutes, then recruit your precisely targeted audience from the global Toluna community (or from any survey) — all in real-time. More information QuickCommunities here.

(D) Your name with a drop down includes these:

  • Your credit balance: This is the number of credits you currently have in your account.
  • Add credits: Is your credit balance low? Click this button to add more to your account so you can launch a survey.
  • Account: This page gives you all the information you need about your profile including your transactions, current balance, and account details. To edit your account details, click on the pencil icon in the top right of that section. You can also buy more credits on this page.
  • Sign out: This is where you can sign out of your account.

Under the main dashboard header, is a subheader where you can view all your projects within the 3 categories: Surveys, PowerSuite, and Communities.

  • (I) Surveys: All your current and past surveys will display here in reverse chronological order according to date.
  • (J) PowerSuite: All PowerSuite projects will display here in reverse chronological order according to date. Under each project name, will be the solution such as “PowerConcept” or “PowerPack“.
  • (K) Communities: All your QuickCommunities will display here in reverse chronological order according to date.
  • (L) Search box: Enter words to search for your survey name here

Within each category dashboard, you have another sub-header with labels that can be used to sort all your projects.

  • (M) Status: You will either see “Closed” “Pending” “Paused” or “Open” here, indicating the status of your survey.
  • (N) Name: This is where you’ll see the name of your survey in the large, bold text, and underneath in gray, smaller text is your internal survey name. You can search for these terms in the search box.
  • (O) Total Respondents: This number indicates the total number of respondents that started the survey. Respondents can come from all sample sources including Toluna’s sample, your own sample, and quota fulls.
  • (P) Paid Respondents: This shows the number of Toluna participants you paid for via AskToluna or AskToluna Pro.
  • (Q) Reports: Here you’ll see two icons. The bar graph will take you to your report. The arrow will upgrade your account to premium.
  • (R) Created: This is the date that you first created your survey. The star icon indicated how many credits were used for the survey.
  • (S) Country: This is the country that you targeted your survey to. If you send to your own list, this will be marked “Global”.

By clicking on the text, or the arrow next to each article, you can reorder alphabetically or by date.

Running Incidence Checks

Did you know that you can run incidence checks within QuickSurveys? An incidence check is the rate of occurrence of a stated event within a given population and usually requires a quick, one-question survey. For example, You might run a one-question survey to see the incidence of pickup truck owners in the USA.

Here a few reasons why running an incidence check with QuickSurveys can be helpful:

1.  Get a read on your audience before running a larger study. Running an incidence check will get you a read on important information you’ll need for a larger survey. For example, if you’re running a larger study and know you need 500 completed interviews, an incidence check allows you to know  that you’ll have about 50% screenouts before launching the actual study. Once you run the larger study, you can appropriately sample for this, rather than guessing and having to add more sample later.

2.  Save time and money. Fielding an incidence check can save time and money by providing valuable insights when dealing with certain respondent criteria and/or low incidence samples. In the case for pickup truck owners, you will save money by eliminating the need to oversample when it comes time to launch the actual study. You will also be able to determine how niche or prevalent your audience is among your target population.

3. Reveal attitudes and behaviors: Incidence checks can boost a study by revealing attitudes and behaviors that warrant additional analysis, which may not have been considered prior. QuickSurveys has a real-time reporting dashboard that shows you demographic information. In the example of pickup truck owners, you can view your data by gender to see that males are more prevalent than females in this audience, or even analyze by region. This detailed information may positively impact how you want to sample within your actual study.

4.  Unmatched speed. QuickSurvey is capable of obtaining up to 2,000 respondents in 24 hours or with our panel of Toluna Influencers.  As mentioned in the previous point, the data is shown in real time within the reporting dashboard and can be viewed from anywhere on any device. Incidence check surveys can be done very quickly which is helpful if you wish to launch the larger study on a tight deadline.

Adding Operational Quotas in QuickSurveys

Do you find yourself in a situation where you need to limit the number or percentage of respondents who answer a question a certain way? For example: You are launching a survey about movies. One of the multiple choice questions asks respondents what type of movies they and enjoy and you want to make sure there is a maximum 30% who choose “Action” and a maximum of 30% that “Adventure.”

To achieve this, you can set an operational quota in QuickSurveys from the Survey Logic Page.

Creating Operational Quotas

From the Build Page, click on Survey Logic

On the Survey Logic Page, click on “ADD NEW QUOTA

In the Edit Condition window, click on the Page and then on the question that you want to add a quota to and then click Next

Enter a Quota Name at the top and check off the “Use Percentage” Box if you want to set % quotas (leaving the box unchecked will allow you to set number of respondents rather than %)

Next to the answers, enter any quotas you are looking to set

Select the action you expect when a quota is filled. The action will determine what happens to a respondent after the particular quota group has been filled.

Click Next

Once thing to keep in mind – Operational quotas are set at the question level. If you have termination points in the survey where respondents can potentially screen out, it may impact the quota you have on completes by marking potential screen outs as such.

    • The email address to your QuickSurveys account, not your preferred email
    • Survey Title (if applicable)
    • Browser (if applicable)
    • Screenshot highlighting any difficulties or issues

Here are some recent examples of questions the support team has received from QuickSurveys users like you:

    • “I want to keep my respondents engaged. What question types should I use?”

Bonus tip: Never make any changes to a survey that was already launched. Even if that survey rendered no respondents. The only possible change to a live survey is pausing the survey, adding more respondents and un-pausing.

Secure Video Hosting

Recently at Toluna QuickSurveys, we added two innovative features to our DIY survey platform: Random Assignment and Secure Video Hosting.

With Secure Video Hosting, users can add video to surveys quickly and easily. Users can now upload video safely and securely from their own device with the peace of mind that their content is protected.

Videos will embed directly into the survey, where respondents will view the video without the ability to pause, rewind or fast-forward, forcing them to watch the entire video before proceeding on. There’s also an optional watermark that may be added for additional security.

How to upload secure videos when building a survey in Toluna QuickSurveys:

1. Through the Video Upload, click on Add Video.

2. Select if there should be a generic watermark with the video.  The watermark will display at the bottom right corner of the video in the live environment.

3. Browse for the Video located on your computer. Be sure Pop-Ups are enabled for the account or else you will not be able to browse for the video.

4. The video title is automatically updated with the original video file name, but feel free to update as you please.

5. After uploading the video, you can preview the video by clicking on the play button.

Utilizing Random Assignment

Recently at Toluna QuickSurveys, we added two innovative features to our DIY survey platform: Random Assignment and Secure Video Hosting.

With Random Assignment, users can easily execute a multitude of studies within QuickSurveys, including concept testing, ad and messaging testing, iterations and more. Users can now test multiple versions of a concept with their target audience and rest assured that any changes observed after comparing the data are due to the concepts themselves — not the characteristics of the audience.

How does Random Assignment work?

This feature randomly assigns respondents to ensure each respondent has an equal chance of being assigned to a concept group.

How to use random assignment when building a survey: 

1. Upload the 1st concept, add video

2. Click “Add” located to the bottom right of the upload box once the concept has been selected and uploaded

3. Add questions within that block by clicking on the Add menu located beneath Concept 1.  From this menu, insert questions and page breaks as needed.

4. Repeat steps 1-3 to create more concepts.  Feel free to duplicate the Main Concept, or Duplicate the Main Concept questions.

5. Select # of concepts to be randomly shown to respondents using Least Fill Quotas dependent on if the survey should be Monadic (1 concept per respondent) or Sequential Monadic (numerous concepts per respondent).

The number of concepts vary based on the number of randomized blocks you select at the top right of the page.  For example, if 4 concepts were programmed, and 1 was selected from the Randomized Blocks Option at the top right of the screen, each respondent will randomly see 1 concept block.  If 2 was selected, each respondent will randomly see 2 out of the 4 concept blocks.

Sharing Your Reports

When running a survey through QuickSurveys, you have automatic access to our advanced data visualization and reporting dashboard. On the reporting page, you can manipulate data to do things like create cross-tabulations, subpopulations, derived questions, apply custom weighting, and so much more. In addition, you can share reports with others, and even collaborate on the same reports.

There are two ways to access your survey report: you can click on View The Report located on the Launch page of your survey, or you can get there from the main dashboard page by clicking on the bar graph icon under the Reporting column.

When on the reporting page, simply click the box and arrow icon (shown below) to open your sharing menu.

You’ll see multiple sharing options: Share a fresh report, a copy of current report, or work on the same report (shown below).  You can also password protect the report, should the data be sensitive.

You’re also able to select as many of these permissions as you’d. For example: read, write, share, export and access template library will give them full access to the report. 

There are 4 options for sharing your report:

Read: Granting them Read access will not allow those you share the report with to manipulate the report in any way or export it to share with others. This way your existing analysis will remain untouched.

Write: Granting someone the Write permission will allow others to modify the report you’re sending to them, whether it be the current report you’re working on, or a fresh report. This is especially helpful if you and a colleague or client both want to conduct a separate analysis of the data.

Share: This permission will allow whoever you share this report with to in turn share it with others at their discretion.

Export: Those with Export access will be able to download a copy of the raw data file, or export the report in PPT, SPSS or XLS format.

Access template library: This will allow your colleagues to export reports into the templates you have uploaded, or to upload their own to export.

It’s also important to note that if for some reason you need to revoke permissions, you may do so at any time within the same sharing menu. Aside from setting a password, you may also opt to set an expiration date so the report is no longer accessible after a certain period of time.

The Internal Survey Name

Do you have surveys in your QuickSurveys account that have similar titles, generic titles (Lifestyle, Entertainment, Travel) or maybe titles in other languages? This can understandably make it difficult for you to easily distinguish the details of each survey.

For this reason, QuickSurveys offers the internal name feature, created so you can give you surveys a more descriptive label! Internal names are visible only to you through your survey management page and can be modified at any time.

Here’s where the internal name is located and how it can be modified: 

To add an internal name to a new survey…

1. Select CREATE in the upper right corner, then go ahead and enter your Survey Title on the Define page (shown below). (For existing surveys, skip to Step 2)

2. Once a title is entered, you’ll notice that same title populated under the Survey Title field next to Your survey’s internal name will be: ______ (shown below). To modify this, click the Edit button and enter your desired internal name, then click outside of the box to commit the new name.
